Avoid Unexpected Charges on Your Forklift Rental Invoice

Unexpected charges on a forklift rental invoice can disrupt your budget. Learn how to avoid surprises by understanding rental terms, potential fees, and best practices for managing your forklift rental smoothly.

The project has ended, your forklift rental has been picked up, and now you’re reviewing the invoice. Unfortunately, you notice an unfamiliar line item that wasn't discussed during the rental process, adding a follow-up call to your list.

Due to varying practices among rental providers, applicable charges may differ. Be aware of these key charges.

Forklift Rental Overtime

Whether a rental’s time period is a day, week or month, the agreement specifies a maximum number of hours it may be operated. Usage above this amount incurs an overtime charge. This rate should also be outlined in the agreement.

Before dialing a rental dealer, consider the number of shifts the forklift will operate and the rental’s planned application. Giving a thorough overview to the rental dealer will highlight which options are most cost-effective, helping to avoid heftier overtime charges.

Transportation

Costs to transport a rental forklift can vary depending on where the equipment is located in correlation to your facility. Reserving a rental in advance can help lower costs by allowing the dealer to deliver the forklift on a scheduled delivery day for your area.

If you receive an estimate that doesn’t outline transportation charges, do not assume it’s included and ask the rental dealer for more information.

Fuel Surcharge

To recover from the fluctuation of higher fuel charges, rental providers may include a fuel surcharge. If your rental dealer includes this charge, confirm the current rate.

Supplies and Environmental Costs

Maintenance of forklifts requires usage of items such as nuts, bolts and rags. These extras are too little to itemize; therefore, an average charge is calculated and may be included on the rental invoice.

Attachments

Rental providers also have forklift attachments that can be installed on a rental or your current equipment. If you are renting a forklift as well, the provider typically includes installation; however, if it’s to be installed on your personal equipment, request an estimate in advance for the service work.

Incurring a charge you were not expecting can affect not only your rental budget but the relationship you have with your forklift dealer. Avoid surprises on your invoice by discussing details of your project, how the forklift rental will be used and the rental provider’s business practices and common charges.

Forklift Abuse

If operator abuse or unexpected incidents happen to the forklift while in your possession, you may be held liable and obligated to cover the cost of the damages to the forklift. Scratches on forklifts, torn seats, knocked off lights and cut tires are the most common damage cost incurred but can be avoided with cautious and trained operators and pedestrians.
